Cancellation of a message

Federal state in which the person concerned is resident

Each notification is sent by the author to the federal state responsible for the person concerned at the time the notification is created. Cancellation instructions must also be sent to the federal state responsible for the person concerned at the time the cancellation is created.

The data processing procedure ensures that corrections and cancellations are handled correctly even in the event of a cross-border change of responsibility.

Cancellation instruction - notification type

When canceling, the KmId of the original incorrect message must always be entered as a reference in the field "KmId of the message to be canceled (RefKmId)".

If there is no data record for the reference KmId in the message procedure memory, the acceptance of the cancellation is rejected with an error message. If the referenced message has already been corrected or canceled, the new cancellation instruction is rejected with an error message. A cancellation cannot be corrected or canceled; in this case, the data must be transmitted as a new message. The year specified in the cancellation instruction must be identical to the year of the message to be canceled.

Cancellation is required in the event of a change in the identifying characteristics of the data subject, e.g. if a reporting entity:

  • an incorrect personal tax identification number of the natural person concerned,
  • a false tax number of the non-natural person concerned,
  • an incorrect reporting year or an incorrect date with regard to the year or an incorrect employment period, or
  • if applicable, a false name / company name of the person concerned for the respective facts,
  • possibly an incorrect business identification number of the non-natural person concerned

in the notification.

As a correction across years is not permitted, the incorrect notification must be canceled.

If, for example, an insurance contract has been assigned to an incorrect data subject, the incorrect notification (in accordance with MV) should be canceled and a correct, new notification (in accordance with MV) issued.
Only in cases where the identical basis (e.g. the same contract) and the identical person are involved should a correction instruction with different identifying characteristics be instructed, e.g. when correcting a technically incorrect value such as an incomplete or incorrect contract number.


ReferenceKmId - message identification number of the message to be canceled

The message identification (KmId) of the original message to be canceled and successfully processed must be entered in this field.

The KmId is specified by "Mein ELSTER" - it is unique nationwide. The KmId of the original transmission thus becomes the reference for the reversal (RefKmId).

You can find the KmId of the original message to be canceled in your Mein ELSTER user account under "My forms" -> "Transmitted forms" tab, there after opening the mailbox message "Reply ..." belonging to the transmission in the PDF behind the first field with the name "KmId" and copy it to the clipboard and then paste it.

Copying to the clipboard is done by marking the text passage with the cursor and then pressing both keyboard keys "Ctrl" + "c" at the same time. The cursor can then be placed in the RefKmId field and the text from the clipboard can be pasted by pressing "Ctrl "+"v" on the keyboard at the same time.


Address of the notifying party

The author's domestic street address must be entered. Optionally, a P.O. Box address can also be entered.


Processor of this cancellation at the notifying body

To contact the person responsible for this cancellation, data fields are provided for identifying the person responsible in the organization, e.g. the work area, in addition to the name of the person responsible.

Affected period

The reporting year or the date from the original notification that is to be canceled must be specified.


Reporting year of the declaration to be canceled

The reporting year of a correction or cancellation must correspond to the reporting year of the notification to be canceled or corrected.

A cross-year correction/cancellation is not permitted, i.e. a notification transmitted for the year 2024 may not be corrected with a correction instruction for the year 2025. In this case, a cancellation of the notification to be corrected for the old year and a new notification for the new year must be submitted.

Time of the message to be canceled

The date from the original message to be canceled must be specified. The time of a cancellation must correspond to the time of the message to be canceled.

As a correction across years is not permitted, the notification to be corrected for the old year must be canceled and a new notification must be sent for the correct year. Example: A notification sent for the year 2024 may not be corrected with a correction instruction for the year 2025.
